Learning How to Learn a New Client
For everyone starting on a new campaign or client. After reading this page you will have a five-day method to learn any client's business, build a one-page cheat sheet, ask smart questions and earn the client's trust quickly.
Track: All tracks · Role: Everyone · Time to complete: 20 min, then 5 days of application
Why speed of learning is a Narqix advantage
Every client thinks their business is unique, and in many details it is. The faster you learn their words, their customers, their rules and their priorities, the sooner they stop explaining and start trusting. Clients often decide in the first two weeks whether a new team member "gets it". This method makes sure you do.
The four things you must learn about any client
- The business: what they sell, to whom, how they make money, and what a "win" is for them.
- The customers: who they are, what they worry about, and how they like to be spoken to.
- The process: the steps of your work, the tools (CRM, tracker, team channel and others), and the handoffs before and after you.
- The rules: authority limits, never-do items, compliance requirements, tone and sign-off.
The five-day method
Day 1: Read everything
- Client Playbook, end to end
- Kickoff notes and any recorded walkthroughs or SOPs
- The client's website: services, areas served, about page, reviews, FAQ
- Your track section in the Academy for this industry
- Ten to twenty recent CRM records or tickets, to see real situations and real notes
- Start your glossary: every word, abbreviation and product name you do not know
Day 2: Build your cheat sheet
Create your one-page Client Cheat Sheet (template below). It must fit on one screen. Keep it open on every shift.
Day 3: Watch and listen
- Listen to recorded calls, or read recent conversations, with the scorecard open
- Shadow a teammate or your lead, if possible
- Note the five questions customers ask most, and the approved answers
- Note the top three objections or complaints and how they are handled
- Callers: practise the client's scripts out loud at least three times each
Day 4: Ask, in one batch
Send your Campaign Lead (or the client, if your Playbook allows) one message with your questions, grouped and with your best guess for each. Use the question bank below for ideas.
Day 5: Teach it back
Explain the client's business and your workflow to your lead in five minutes, as if you were training the next new person. Gaps in your explanation show you exactly what to review. Then start supervised work.
Coach's note: Teaching back is the fastest test of understanding. If you cannot explain who the client's customer is and what a good outcome looks like in two sentences, you are not ready to talk to their customers yet. That is fine. Go back to the cheat sheet.

Question bank
Pick the questions that apply. Always add your best guess so the reply can be a quick "yes".
Business
- What does a great week look like for you from this role?
- Which customers or leads matter most, and why?
- What is the most common reason a deal or customer is lost?
Process
- What happens right before my work, and right after it?
- Which tasks need your approval, and which can I complete on my own?
- What are the three mistakes you most want me to avoid?
Customers
- How formal should I be? First names or titles?
- What are the questions customers ask that we cannot answer, and who handles them?
Rules and tools
- What are my authority limits (refunds, discounts, scheduling, sending)?
- Which AI uses are approved, if any?
- What is the escalation path after hours?
The first 30 days
| Period | Focus | Signs you are on track |
|---|---|---|
| Week 1 | Learn, practise, supervised start | Cheat sheet done, questions batched, first tasks correct |
| Weeks 2 to 3 | Execute with review; external messages often approved before sending | QA scores at or near pass mark, fewer questions each day |
| Week 4 | Independence on agreed task types | Client stops checking routine work; you suggest one improvement |
| Day 30 | Review with your lead (and often the client) | Agree which tasks no longer need approval |
Common mistakes
| Mistake | Better habit |
|---|---|
| Asking the same question twice | Add every answer to your cheat sheet or glossary immediately |
| Sending 15 separate questions through the day | One grouped message, with your best guesses |
| Pretending to understand | "Let me repeat that back to make sure I have it right." |
| Copying habits from your last client | Each campaign has its own Playbook. Check before assuming. |
| Waiting to be told everything | Read the CRM history and website yourself first |
Never do this: Never guess the client's policy to a customer during your learning period. Never use material, scripts or lists from a previous client on a new one. Every client's information stays with that client.
Check yourself
- What four things must you learn about any client?
- What do you do on Day 2 of the five-day method?
- Why add your best guess to each question?
- You worked on a similar campaign before. Can you reuse that client's scripts?
- What is agreed at the day 30 review?
