Closing Day Communications

Transaction Coordination Transaction Coordinator Closing Coordination NQX-62

Purpose: run every call and message from 48 hours before closing until the fee is confirmed and the seller is thanked.

When to use: from C minus 2 through funding and the first post-closing day.

Goal: every party signs on time, funds arrive, the deed records and the client confirms the exact fee received.

Version: v1.0

Before you dial

  • Final settlement statement approved in writing by the client (status SS-REVIEW complete).
  • Signing time and method confirmed for every party, in each party's local time.
  • Every required signer identified: all owners, spouses, heirs or trustees title requires.
  • Mail away packages back at title, or tracking numbers in hand.
  • Wire instructions for the fee verified by title with the client by phone.
  • Phone numbers for the seller, buyer, closer, notary and client in one place.
  • Your calendar is clear. On closing day, closing communications come before everything else.

The flow

Stage 1: The 48 hour confirmation email (C minus 2)

Send one email to all parties who should see it (title, buyer or buyer's closer, lender, agents). Send the seller a separate, simpler message.

Subject: (PROPERTY ADDRESS) · Closing confirmation (CLOSING DATE) Hi everyone, We are 48 hours from closing on (PROPERTY ADDRESS). Please reply to confirm your part below, or tell me today if anything is missing. Closing date: (CLOSING DATE) Seller signing: (SELLER SIGNING TIME AND METHOD) Buyer signing: (BUYER SIGNING TIME AND METHOD) Buyer funds: to arrive at title by (FUNDS DEADLINE) Lender (if any): closing package and funding confirmed by (LENDER DEADLINE) (CLOSER NAME), is there anything still outstanding from any party? Reminder to all: if you receive any email changing wiring instructions, do not send money. Call (TITLE COMPANY) at a number you already have. Thank you all for your work on this file. (YOUR NAME) Transaction Coordinator, (COMPANY NAME)

Why it works: everyone sees the full plan in one place, and title is asked directly for open items while there is still time to fix them.

Stage 2: Seller reminder call (C minus 1)

You: Hi (SELLER FIRST NAME), it is (YOUR NAME) from (COMPANY NAME). Tomorrow is the big day. Do you have two minutes so we can make sure everything is ready?

You: Your signing is at (SELLER SIGNING TIME) (AT LOCATION / WITH A NOTARY WHO WILL COME TO YOU AT ADDRESS).

You: Please have a current photo ID ready, like a driver's license or passport.

You (if there are co-owners): (CO-OWNER NAME) will need to sign too, with their own ID. Will they be with you?

You: Signing usually takes about 30 to 60 minutes. The notary does not explain the documents, so if you have any questions, call me or (CLOSER NAME) before or during the signing.

You: After everyone signs and the buyer's money arrives, the closing company sends your funds. They have your details for (WIRE OR CHECK).

You: Is there anything worrying you about tomorrow?

You: Wonderful. I will call you tomorrow morning to check in. Get some rest.

Why it works: no surprises tomorrow. The seller knows the time, what to bring, who signs, how long it takes and how they get paid.

Stage 3: Closing morning email to title (Day C, start of US business hours)

Subject: RE: (PROPERTY ADDRESS) · Closing today Good morning (CLOSER NAME), Closing day for (PROPERTY ADDRESS). Quick checks:

  1. Do you have everything you need from every party?
  2. Are the buyer's funds received or on the way?
  3. Is the final statement unchanged from the version approved on (APPROVAL DATE)?
  4. Any update on the notary for the seller at (SELLER SIGNING TIME)? I am available all day at (YOUR PHONE). Thank you! (YOUR NAME)

Stage 4: Seller morning call

You: Good morning (SELLER FIRST NAME), it is (YOUR NAME). Just checking in before your signing at (SELLER SIGNING TIME). How are you feeling about today?

You: Do you have your ID ready? (If there are co-owners: Is (CO-OWNER NAME) with you?)

You: Perfect. I will check with the closing company after your signing. Call me any time if you need anything.

If they say: "Something came up, can we move the signing?"

You: Thank you for letting me know early. What time today could work for you? I will ask the closing company right now and call you back within 15 minutes.

Call title immediately. If the signing cannot happen today, Red escalation to the client. Do not promise a new time until title confirms.

If they say: "I am having second thoughts."

You: I understand. This is a big step, and it is normal to feel nervous. Can you tell me what is on your mind?

Listen. Answer only factual questions about the process. If they want to stop or cancel, do not pressure them. Say: "Thank you for telling me. I will let the team know right now and someone will call you shortly." Red escalation within 15 minutes (page 10, drill 1).

No answer

Leave a short, warm voicemail, then text if they agreed to texts: "Good morning (SELLER FIRST NAME), it is (YOUR NAME). Just checking in before your signing at (SELLER SIGNING TIME). Call me at (YOUR PHONE) if you need anything." Ask title whether the notary has confirmed with the seller. If there is no contact 1 hour before signing, Red escalation.

Stage 5: After each signing

Subject: RE: (PROPERTY ADDRESS) · Closing today Hi (CLOSER NAME), has the (SELLER / BUYER) signing been completed? Is the package complete, or does anything need to be re-signed?

If anything needs to be re-signed, find out exactly what and arrange it the same day.

Stage 6: Funding and recording check

Check with title on a schedule, not constantly. Every 1 to 2 hours is enough.

Subject: RE: (PROPERTY ADDRESS) · Closing today Hi (CLOSER NAME), checking in on funding. Have the buyer's funds been received and has the file been disbursed? When disbursed, could you send the wire reference for the assignment fee to (ASSIGNOR ENTITY NAME)? Thank you!

For a double close, add: "Please confirm closing 1 has funded before closing 2 disburses, as planned."

Stage 7: Seller update calls

When signed but not yet funded:

You: Hi (SELLER FIRST NAME), I just heard from the closing company. Your signing went well and your part is complete. Now we are waiting for the buyer's funds to finish processing. I will call you as soon as your money has been sent.

When funded and disbursed:

You: Hi (SELLER FIRST NAME), I have great news. The sale of (PROPERTY ADDRESS) is complete, and the closing company has sent your funds by (WIRE OR CHECK). Depending on your bank, it may take (TIMEFRAME TITLE GAVE) to arrive.

You: Thank you so much for trusting us. It has been a pleasure working with you. If you have any questions in the next few weeks, my number stays the same.

Why it works: the seller hears progress at each step from a person they know, not silence.

Stage 8: Client fee confirmation

Message to client: (PROPERTY ADDRESS) has funded. Title reports the fee of (ASSIGNMENT FEE) was wired to (ASSIGNOR ENTITY NAME), reference (WIRE REFERENCE). Please confirm when it appears in your account so I can close the file. Final statement and closing package to follow.

When the client confirms, check the amount against the final statement to the cent. Any difference is a Red escalation.

Stage 9: Thank you to title (C plus 1)

Subject: RE: (PROPERTY ADDRESS) · Thank you Hi (CLOSER NAME), Thank you for a smooth closing on (PROPERTY ADDRESS). Could you send the final signed settlement statement and the closing package, and the recorded deed when it is available? We appreciate your team, and we look forward to the next one. (YOUR NAME)
