Seller Voicemail and Text Pack
Purpose: Give every caller and SMS agent ready-to-use live voicemails, prerecorded voicemail drops, first-touch texts and follow-up texts for each stage of a seller conversation.
When to use: When a call goes to voicemail, after a live conversation, before and after appointments, and for follow-up, always within the consent and timing rules below.
Goal of each message: One outcome. A callback or a reply from the seller, without ever breaking a consent, opt-out or timing rule.
Version: v1.0
Track: Real Estate · Role: Cold Caller, Lead Manager, SMS Agent, Acquisitions · Time to complete: 30 min
The rules first
Voicemails and texts are where most compliance mistakes happen, because they feel small. They are not. Under US law, a single unwanted text or prerecorded message can carry a penalty of 500 USD or more. Learn these rules before you use any template.
The texting rule
Never text a seller unless all of these are true:
- The seller gave consent to be texted. For example, they filled in a form that asked for consent, they texted us first, or they agreed on a live call ("Is it okay if we text this number?").
- You are sending through the client's registered texting platform, under the client's registered business brand. Never from a personal phone, a personal app or an unregistered number.
- The number is not on any DNC list, and the seller has never opted out.
- It is inside the calling window in the seller's local time.
- The message names the company and includes opt-out language.
First-touch texts to cold lists (TXT C1 to C3 below) go out on the lists your campaign has cleared for texting. Your team lead confirms which lists are cleared before you send.
The voicemail rule
A voicemail you speak live, during a normal call, is fine. Prerecorded voicemail drops (VM D1 to D3 below) go out through the client's dialer to the numbers your campaign has cleared for prerecorded messages, which under US rules means prior express written consent is on file. Your team lead confirms which lists are cleared.
| Rule | Narqix standard |
|---|---|
| Timing | Inside the calling window in the seller's local time. Narqix default: 9 AM to 8 PM, Monday to Saturday, no Sundays or US holidays, and stricter state rules where they apply |
| Frequency | No more than 3 touches per 24 hours per seller, counting calls, voicemails and texts together |
| Identify | Every voicemail and every first text names you and the company |
| Opt-out in texts | Every marketing text ends with "Reply STOP to opt out." |
| Opt-out keywords | STOP, QUIT, END, REVOKE, OPT OUT, CANCEL, UNSUBSCRIBE: all mean stop. So does any message like "don't text me," "remove me," "wrong number" or the same in another language |
| Honoring opt-outs | Immediately. Code DNC across every campaign for that number. At most one confirmation text, then nothing |
| Privacy | Never mention debt, foreclosure, divorce, death or health in a voicemail or text. Someone else may hear or read it |
Coach's note: The best voicemail is short, specific and easy to return. Say your number twice, slowly. Most sellers decide whether to call back in the first five seconds, so put your name, the company and the street name first.
Before you send
- The list or number is cleared for the channel: texting (TXT), first-touch texting (TXT C), or prerecorded drops (VM D). Consent source, date and time in the CRM.
- DNC status checked for this number on every campaign.
- Calling window and the 3 touches per 24 hours cap checked.
- Template chosen for the right stage. Placeholders filled. Read it once out loud.
- For texts: no links unless your client approved them, and never shortened links.
The flow
1. Choose the channel
| Situation | Voicemail | Text |
|---|---|---|
| Cold call, no answer | Live voicemail (VM 1), or a prerecorded drop (VM D1) if the list is cleared for drops | First-touch text (TXT C1) if the list is cleared for texting |
| Cold list, first touch before any call | Prerecorded drop (VM D1) if cleared for drops | First-touch text (TXT C1) if cleared for texting |
| After a live call where the seller agreed to texts | Live voicemail if needed | Yes |
| Seller filled in a form with texting consent | Live voicemail allowed | Yes |
| Seller texted us first | Live voicemail allowed | Yes, reply to their text |
| Seller asked us to stop, by any channel | No | No |
Why it works: Choosing the channel by what the list is cleared for, then by convenience, prevents almost every texting mistake.
2. Leave the voicemail
Speak slowly and smile. Keep it under 30 seconds. Say the number twice.
VM 1: Cold call, first or second attempt
You: Hi, this message is for (SELLER FIRST NAME). This is (YOUR NAME) with (COMPANY NAME). I'm calling about your property on (STREET NAME). We buy houses in (CITY), and I wanted to ask if you'd ever consider an offer. You can reach me at (OFFICE NUMBER). That's (OFFICE NUMBER). If you'd rather not hear from us, just let us know at that number and we'll take you off our list. Thank you.
Leave a cold voicemail no more than once per attempt cycle your client sets. Many owners call back after the second one.
VM 2: Follow-up after a conversation
You: Hi (SELLER FIRST NAME), it's (YOUR NAME) with (COMPANY NAME). We spoke on (DAY) about (STREET NAME). I'm following up like we planned. Give me a call back when you have a minute at (OFFICE NUMBER). Again, (OFFICE NUMBER). Thanks, talk soon.
VM 3: Appointment reminder, day before (only if no text consent)
You: Hi (SELLER FIRST NAME), it's (YOUR NAME) with (COMPANY NAME). Just a reminder about your call with (ACQUISITIONS NAME) tomorrow, (DAY), at (TIME) (TIME ZONE) time. If you need to change the time, call us at (OFFICE NUMBER). Thank you.
VM 4: Missed appointment
You: Hi (SELLER FIRST NAME), it's (YOUR NAME) with (COMPANY NAME). We had a call set for (TIME) today, and I wanted to make sure everything's okay. No problem at all if something came up. Call us at (OFFICE NUMBER) and we'll find a better time. Thanks.
VM 5: After an offer was made
You: Hi (SELLER FIRST NAME), it's (YOUR NAME) with (COMPANY NAME). I'm following up on our conversation about (STREET NAME). I'm happy to answer any questions about the offer. You can reach me at (OFFICE NUMBER). That's (OFFICE NUMBER). Thanks.
Never say the offer amount in a voicemail.
VM 6: Returning an inbound call
You: Hi, this is (YOUR NAME) with (COMPANY NAME), returning your call. Sorry I missed you. Please call us back at (OFFICE NUMBER), or I'll try you again later today. Thanks.
VM 7: Agreement sent but not signed
You: Hi (SELLER FIRST NAME), it's (YOUR NAME) with (COMPANY NAME). I wanted to check if you had any questions about the agreement we sent. I'm happy to go through it with you again. Call me at (OFFICE NUMBER). Thanks.
Why it works: Every voicemail names you, the company and the reason, gives a clear way back, and leaves out anything private.
3. Prerecorded voicemail drops
Recorded once, in a warm, clear voice, and dropped by the dialer when a call reaches voicemail on a cleared list. Use the client's approved recording. Keep each drop under 25 seconds. Use the street name only if your dialer can merge it; otherwise use the version without it.
VM D1: First touch, cold list
Recording: Hi, this is (CALLER NAME ON RECORDING) with (COMPANY NAME). I'm reaching out to homeowners in (MARKET). We work with a group of buyers looking to buy homes in your area, as-is, for cash, and we pay all the closing costs. If you'd ever consider an offer on your property, give us a call at (OFFICE NUMBER). Again, (OFFICE NUMBER). To stop these messages, call that number and ask to be removed. Thank you.
VM D2: Second touch, cold list
Recording: Hi, it's (CALLER NAME ON RECORDING) with (COMPANY NAME) again. We're still making offers on homes in your area this week. No repairs, no cleaning, no agent fees. If selling has crossed your mind, even a little, call me back at (OFFICE NUMBER). That's (OFFICE NUMBER). To stop these messages, call and ask to be removed. Thanks.
VM D3: Last touch in the cycle, cold list
Recording: Hi, (CALLER NAME ON RECORDING) with (COMPANY NAME). I've tried you a couple of times about your property. I'll stop calling for now, but if you'd like to hear what an as-is cash offer would look like, we're at (OFFICE NUMBER). That's (OFFICE NUMBER). To stop these messages, call and ask to be removed. Take care.
Why it works: A drop reaches every voicemail on the list in the same warm voice, with the company name, the reason, the number twice and an easy way to stop.
4. Send the text
Use these templates only when the texting rule is met. Keep texts short. One message, one purpose.
First-touch texts to cold lists
TXT C1: First touch
Hi, is this (OWNER FIRST NAME)? This is (YOUR NAME) with (COMPANY NAME). We're buying homes in (MARKET) and wanted to see if you'd consider an offer on (STREET NAME). As-is, and we cover closing costs. Reply STOP to opt out.
TXT C2: No reply after 2 to 3 days

TXT 7: 1 week follow-up

TXT 9: 90 day follow-up

TXT 10: Offer summary emailed
Hi (SELLER FIRST NAME), it's (YOUR NAME) with (COMPANY NAME). I just emailed you a summary of our offer for (STREET NAME), from (SENDER EMAIL). Let me know when you'd like to go over it. Reply STOP to opt out.
Never put the offer amount in a text.
TXT 11: Agreement sent for e-signature
Hi (SELLER FIRST NAME), the agreement for (STREET NAME) was just sent from our e-signature tool, from (SENDER NAME OR ADDRESS). Please don't sign until we've gone through it together. When's a good time? Reply STOP to opt out.
Why it works: Every text names the company, has one clear purpose, keeps private details out, and makes stopping easy.
5. Handle replies
Watch every reply. Texting platforms catch keywords automatically, but people often opt out in their own words, and only a human catches those.
If they reply STOP, or any opt-out keyword
The platform usually sends one automatic confirmation. Do not send anything else. Code DNC in the CRM across every campaign for that number. If your platform does not send a confirmation, you may send one, and only one:
You're unsubscribed from (COMPANY NAME) messages. No more messages will be sent.
If they write an opt-out in their own words ("don't text me," "remove me," "who is this, leave me alone")
Treat it exactly like STOP. Code DNC immediately. At most one reply:
Sorry for the trouble. We've removed this number and won't contact you again.
If they reply "Wrong number"
Thanks for letting us know. We've removed this number. Sorry for the trouble.
Code WRONG and suppress the number. Send nothing else.
If they reply HELP
(COMPANY NAME): for help, call (OFFICE NUMBER). Message frequency varies. Message and data rates may apply. Reply STOP to opt out.
If they reply "How much will you pay?"
Thanks for asking. A fair number depends on the condition and a few details. Could we do a quick 10 minute call? What time works for you?
Never text a price.
If they reply "Yes, I'm interested" or "Call me"
Call within 5 minutes if it is inside the calling window. If not, reply:
Thanks! It's (YOUR NAME) with (COMPANY NAME). What time tomorrow works best for a quick call?
Then book the call for the next window.
If they reply "Is this a scam?"
Fair question. (COMPANY NAME) is a real company. You can call our office at (OFFICE NUMBER) or visit (WEBSITE). You never pay us anything. Reply STOP to opt out.
If they reply angrily or with legal threats
Do not argue. Code DNC, and LIT-FLAG if they mention a lawsuit or ask for your legal name or DNC policy. Tell your team lead the same day. If any reply is needed, send only:
We've removed this number and won't contact you again.
Objections by text
Keep it simple. A text is not the place to handle objections. Thank them, answer in one line, and invite a short call. For full handling, see the Objection Handbook in the Script Library.
| If they text | One-line reply |
|---|---|
| "Not selling." | "Understood, thanks for letting me know. Okay if I check in down the road?" |
| "Make me an offer." | "Happy to. I need a few details first. Is a 10 minute call okay today?" |
| "How did you get my number?" | "Ownership is public record, and we use a data service. Reply STOP and we'll remove you." |
Never do this
Never text outside the calling window, or to a list your campaign has not loaded for texting.
Never use a personal phone or personal messaging app to contact a seller.
Never send a prerecorded or AI-voice voicemail that is not the client's approved recording.
Never send anything after an opt-out except one confirmation.
Never put prices, debts, foreclosure or family details in a voicemail or text.
After the touch
CODE: (DISPOSITION CODE)
Channel: live voicemail, prerecorded drop, first-touch text, text, or a mix
Template used: (VM, VM D, TXT OR TXT C NUMBER)
List clearance or consent basis: cleared list (name), form, inbound text, or live call; date and time

Opt-out: yes or no; time; confirmation sent (only one)
Next touch: channel and date, within the 3 per 24 hours cap
Next step: Log every voicemail and text in the CRM the moment you send it, so the next person sees the true touch count.
