Voicemail and SMS Pack
Purpose: approved wording for every voicemail, prerecorded voicemail drop and text in the solar lead and appointment journey, including first-touch texts to cold lists.
When to use: whenever a call goes to voicemail, and at every text touch in the cadence and confirmation sequence.
Goal of each message: one clear next step: call back, reply, or keep the appointment.
Version: v1.0
Track: Solar · Role: SMS Agent, Appointment Setter, Confirmer, Lead Manager · Time to complete: 20 min to learn
Before you send anything
- Consent on file for this number, or the number is on the client's approved cold list. No DNC flag either way
- Homeowner's local time inside 9 AM to 8 PM, Monday to Saturday
- Sending from the client's registered business number through the texting platform
- Message uses the client's company name
- First text to this number includes "Reply STOP to opt out"
- No links, pictures or attachments unless the client has approved them
Voicemail rules
- Live voicemail or prerecorded drop. Speak the message yourself, or use a prerecorded voicemail drop from the set below, recorded in the client's approved wording. No AI voices unless the client's legal team has approved them in writing.
- Under 25 seconds. Name, company, reason, one call to action, number twice.
- Say the number slowly, in groups: "five five five, two one two, four four eight nine".
- One voicemail per day per lead at most, inside the attempt cap.
- No sales claims. Never mention prices, savings or incentives.
Coach's note: Smile and slow down for voicemails. A homeowner decides whether to call back from your tone in the first three seconds. Practice each voicemail out loud until it sounds like you, not like a script.
Voicemails
V1: Fresh lead, first attempt
"Hi (HOMEOWNER NAME), this is (YOUR NAME) with (COMPANY NAME). You asked about solar for your home today, and I am calling to help set up a quick, no-obligation consultation. You can reach me at (CALLBACK NUMBER). Again, that is (CALLBACK NUMBER). I will also send you a short text. Thank you."
V2: Fresh lead, follow-up attempt
"Hi (HOMEOWNER NAME), it is (YOUR NAME) from (COMPANY NAME) again, following up on your solar request. If you would still like someone to look at your options, call or text me at (CALLBACK NUMBER). That is (CALLBACK NUMBER). Have a good day."
V3: Aged lead check-in
"Hi (HOMEOWNER NAME), this is (YOUR NAME) with (COMPANY NAME). You asked about solar for your home back in (LEAD MONTH), and I am just checking in to see if it is still on your mind. If it is, call me at (CALLBACK NUMBER). If not, no problem at all. Thanks."
V4: Confirmation call, no answer
"Hi (HOMEOWNER NAME), this is (YOUR NAME) with (COMPANY NAME), calling about your solar consultation with (CONSULTANT NAME) on (APPOINTMENT DAY) at (APPOINTMENT TIME). I just want to make sure the time still works for you and (SPOUSE NAME). Please call or text me at (CALLBACK NUMBER). Thank you."
V5: No-show, same day
"Hi (HOMEOWNER NAME), it is (YOUR NAME) with (COMPANY NAME). (CONSULTANT NAME) was scheduled to see you today and we missed each other. I hope everything is okay. If you would like a new time, just call or text me at (CALLBACK NUMBER). Take care."
V6: Promised callback, no answer
"Hi (HOMEOWNER NAME), this is (YOUR NAME) with (COMPANY NAME), calling back at (CALLBACK TIME) as we agreed. Sorry I missed you. I will send a text, and you can reach me at (CALLBACK NUMBER) whenever is easier."
Prerecorded voicemail drops
Drops are recorded once and sent through the dialer when a call reaches voicemail. They save time on cold and aged lists and keep every message the same.
Drop rules
- Use only recordings made from the client's approved wording below
- Record in a quiet room, at a calm, slow pace, under 25 seconds
- Say the company name, and say the callback number twice
- End with the simple opt-out line, so anyone who wants to stop can ask
- One drop per lead per day at most, inside the calling window and the attempt cap
- Log every drop in the CRM with its code, for example "DROP D1"
D1: Cold list, first touch
"Hi, this is (CALLER NAME) with (COMPANY NAME). We work with homeowners all over (MARKET) who want to see if solar makes sense for their home. If you would like a quick, no-obligation look at your options, call us back at (CALLBACK NUMBER). Again, that is (CALLBACK NUMBER). If you would rather not hear from us, call that number and we will take you off our list. Thank you."
D2: Fresh web lead, after a missed live call
"Hi, this is (CALLER NAME) with (COMPANY NAME), following up on your request about solar for your home. We would love to set up a short, no-obligation consultation at a time that suits you. Please call or text us at (CALLBACK NUMBER). That is (CALLBACK NUMBER). To stop hearing from us, just let us know at that number. Thank you."
D3: Aged lead check-in
"Hi, this is (CALLER NAME) with (COMPANY NAME). A while back you asked about solar for your home, and we are checking in to see if it is still on your mind. If it is, call us at (CALLBACK NUMBER). Again, (CALLBACK NUMBER). If not, no problem. Just tell us and we will take you off our list. Thanks."
D4: Appointment reminder
"Hi, this is (CALLER NAME) with (COMPANY NAME), calling about your upcoming solar consultation. We want to make sure the time still works for you. Please call or text us at (CALLBACK NUMBER). That is (CALLBACK NUMBER). Thank you, and we look forward to seeing you."
Coach's note: A drop works best as the first touch of the day on a cold or aged list, followed by a cold text a few minutes later. The homeowner hears your company name, then sees it in writing, and the callback rate goes up.
Texting rules
- Short. Aim for under 160 characters. Never more than two text segments.
- Company name in every message.
- First message to a number: add "Reply STOP to opt out."
- One question per text, easy to answer in a word.
- No capital-letter shouting, no slang, no pressure words ("act now", "last chance", "limited").
- Never send two unanswered texts in a row on the same day.
- Read every reply before sending the next template. A reply changes the conversation.

Nurture

Examples for (THEIR REASON): "the roof work in spring", "the new electric car", "waiting until your husband was back".
Compliance replies
S12: Reply to STOP or any opt-out wording
"You are unsubscribed from (COMPANY NAME) messages. You will not receive further texts."
Many texting platforms send this automatically. If yours does, do not send a second message. Code DNC immediately either way.
S13: Reply to HELP
"(COMPANY NAME): solar consultation scheduling. Questions? Call (CALLBACK NUMBER). Reply STOP to opt out."
Handling replies
| They reply | You do |
|---|---|
| "Yes" to a confirmation | Code CONF, thank them briefly |
| A question about price, savings or incentives | "Great question. (CONSULTANT NAME) will go through the real numbers for your home at the consultation." |
| "Who is this?" | "This is (YOUR NAME) with (COMPANY NAME), following up on the solar request from your home." |
| "Wrong number" | "Sorry about that, I will update our records." Code WN |
| STOP, "remove me", "do not text", or anything similar | Code DNC immediately. Do not send any sales reply |
| Angry or legal language | Do not reply. Escalate to the team lead |
| "Call me" | Call within minutes if inside the window. If outside, reply with a time inside the window |
Never do this:
Never text outside 9 AM to 8 PM in the homeowner's time, or on Sundays.
Never text from a personal phone or an unregistered number.
Never send prices, savings, incentive claims, or the words "free", "approved" or "guaranteed".
Never reply with a sales message after any opt-out wording, even if it is not exactly "STOP".
After sending
Log every voicemail and text in the CRM as a touch with the template code, for example "VM V1" or "SMS S3". Log every reply word for word.
Check yourself
- What five parts make a good voicemail?
- Which text must include "Reply STOP to opt out", and why?
- A homeowner replies "please don't text me again". What do you do?
- A homeowner texts "how much will this cost?" Write your reply.
- Why should a reminder text be written as a question?
