Client Update: Daily Inbox Digest

Back Office & Admin Executive Assistant Email NQX-5

Purpose: give the client one daily message that covers everything in their inbox they need to know.

Use it when: every working day, at the time the client chose.

Goal: the client makes every pending decision in under five minutes.

Version: v1.0

Before you send

  • Complete a full sweep using the Six Outcomes (see Inbox Management)
  • Every item in 01 Decide has a one-line summary and your recommendation
  • Every item in 02 Drafts for You is ready to send
  • Counts of handled items by type
  • Oldest item in 03 Waiting On and what you did about it
  • Time of sending matches the client's chosen digest time

The flow

1. Subject line

You: Inbox digest, (DAY AND DATE): 3 decisions, 2 drafts

Why it works: the client knows the size of the job before opening the message.

2. Decisions first

You: Needs your decision (3)

  1. (SENDER NAME), (COMPANY): wants to move Thursday's call to Friday 10:00 AM ET. My suggestion: yes, you are free.
  2. (SENDER NAME): asks for a 10% discount on the annual plan. My suggestion: offer 5% for a 2-year term, as you did with (CUSTOMER NAME) last month.
  3. (SENDER NAME): invitation to speak at (EVENT NAME) on (DATE). My suggestion: decline, it clashes with your family trip.

Why it works: decisions block other people; each has a recommended answer so the client can reply "1 yes, 2 yes, 3 yes".

3. Drafts waiting

You: Drafts ready for you to send (2)

  1. Reply to (PARTNER NAME) about the renewal (in your Drafts folder). Needs your voice because it confirms price.
  2. Thank-you note to (CUSTOMER NAME) after yesterday's visit.

4. What you handled

You: Handled for you (17): 7 scheduling, 5 receipts filed, 3 vendor confirmations, 2 unsubscribes.

Why it works: counts show your value without filling the message.

5. Waiting on others

You: Waiting on others (4): oldest is (VENDOR NAME), 5 days, about the revised quote. I sent a second follow up today. Shall I call them tomorrow?

6. Close

You: Reply with numbers ("1 yes, 2 no") and I will take care of the rest. (YOUR NAME)

If there is nothing to decide today

You: Inbox digest, (DAY AND DATE): no decisions needed. Handled 21 items for you (details below). Nothing urgent waiting.

Still send it. A quiet digest is good news, and it shows the inbox is under control.

If something urgent appears after the digest

Do not wait for tomorrow's digest. Message the client directly through the urgent channel in their Client Workflow Record, using the Escalation Ladder.

Tricky replies

Client saysYou reply
"Just decide for me on these.""Will do. I will follow my suggestions above. Would you like me to treat this type of request the same way in future?" (If yes, update the Client Workflow Record.)
"Too long."Shorten: decisions only, counts in one line. Ask which parts they want to keep.
Client answers only some items"Thanks. Still open: item 3. I will keep it at the top of tomorrow's digest."

After you send

  • Note the digest in your end of day report: "Digest sent, 3 decisions, 2 drafts."
  • When the client replies, act on each decision the same shift and move the emails out of 01 Decide.
  • Items unanswered for 2 business days get a gentle reminder at the top of the next digest.

Coach's note: look at the client's previous answers to learn their patterns. If they say "yes" to your vendor scheduling suggestions ten times, propose adding that to your "do without asking" list. The digest gets shorter, and you get more trust.
