Client Update: Evening Calendar Brief
Purpose: tell the client exactly what tomorrow looks like and what they need to prepare.
Use it when: at the end of every shift, for the client's next working day.
Goal: the client starts tomorrow with zero surprises.
Version: v1.0
Before you send
- Calendar display set to the client's time zone
- Every external meeting for tomorrow confirmed, or follow up planned
- Every invite has the Five Facts (see Calendar Management)
- Travel times checked for in-person meetings
- Conflicts and tight gaps found
The flow
1. Header with the zone
You: Tomorrow, (DAY AND DATE). All times ET.
Why it works: one zone for the whole brief prevents confusion.
2. The schedule, one line each
You:
- 8:30 to 8:55: Call with (CONTACT NAME), (COMPANY). Purpose: renewal terms. Prep: proposal linked in the invite. Confirmed.
- 10:00 to 11:00: Site visit at (ADDRESS). Leave by 9:20 (35 min drive). Confirmed.
- 1:00 to 1:50: Interview, (CANDIDATE NAME), dispatcher role. Kit linked. Confirmed.
- 3:00 to 3:25: Team check-in (internal).
Why it works: time, who, why, prep and status in one line each.
3. Heads up
You: Heads up
- (CONTACT NAME) has not confirmed the 8:30. I will follow up at the start of my shift and message you if it changes.
- Your only free block is 11:30 to 12:45. I have protected it for lunch and the proposal review.
4. Prep needed from the client
You: Before 8:30: please read the 2-page proposal summary (linked). Five minutes.
5. Close
You: Have a good evening. I will send the morning update by (TIME AND ZONE). (YOUR NAME)
If tomorrow is empty or very light
You: Tomorrow, (DAY AND DATE): no meetings. Two focus blocks are protected for the proposal and the hiring review. Anything you would like me to book?
If there is a conflict you cannot solve
You: Conflict: (CONTACT A) at 2:00 PM and (CONTACT B) at 2:00 PM. Both are external. My suggestion: move (CONTACT B) to Thursday 10:00 AM ET, which they offered last week. Reply "yes" and I will handle it.
Tricky replies
| Client says | You reply |
|---|---|
| "Cancel the 10:00." | "Done. I have sent (CONTACT NAME) a note and offered Thursday or Friday. I will update you once they reply." (Check it is not a VIP needing a personal note first.) |
| "Add a call with X tomorrow." | "Sure. Free options: 11:30 AM or 4:00 PM ET. Which one? I will hold both until you reply." |
After you send
- Log "Evening brief sent" in your end of day report.
- Leave a note for your morning self (or the backup) of any open confirmations.
Coach's note: always include leave-by times for in-person meetings. Clients rarely check travel time themselves, and arriving late to a site visit is one of the most common calendar complaints.
