Follow Up Email: Polite Nudges for Waiting Items
Purpose: get a reply from someone who owes the client an answer, a document or an action, without sounding pushy.
Use it when: an item in 03 Waiting On reaches its follow up date.
Goal: a reply, or a clear decision from the client on how to proceed.
Version: v1.0
Before you send
- Check the thread: did they already reply somewhere else (another email, a call, the client's phone)?
- Check the deadline that depends on this item
- Reply in the same thread so they see the history
- Know what you are asking for, in one sentence
The flow (three steps over six days)
Nudge 1: Day 2, friendly
You: Hi (CONTACT FIRST NAME), Just checking in on the revised quote for (PROJECT). (CLIENT FIRST NAME) would like to review it this week. Could you send it by Thursday? Thank you, (YOUR NAME)
Why it works: one clear ask, one clear date, and a reason that is true.
Nudge 2: Day 4, shorter, easier
You: Hi (CONTACT FIRST NAME), Following up on the quote. If it is easier, a rough number by phone is fine for now, and the written version can follow. What works for you?
Why it works: lowering the effort often unblocks a busy person.
Step 3: Day 6, raise it to the client (not the contact)
You (to the client, in the digest): (CONTACT NAME) has not replied to two follow ups about the quote (first asked (DATE)). The job starts (DATE). Options: 1) I call their office tomorrow, 2) you message them directly, 3) we ask (OTHER VENDOR) for a quote. My suggestion: option 1, then option 3 if no answer by Friday.
Why it works: the client decides how hard to push. You never escalate tone with outside contacts on your own.
If the item is urgent (deadline within 48 hours)
Compress the cadence: nudge the same day, then call (if approved) the next morning, and tell the client at once if there is still no answer.
You: Hi (CONTACT FIRST NAME), the signed form is needed by tomorrow 12:00 PM ET for (REASON). Could you send it today? If anything is unclear on the form, reply and I will help right away.
If they reply with a delay
You: Thanks for the update, (CONTACT FIRST NAME). I have noted Monday. I will let (CLIENT FIRST NAME) know.
Update the follow up date to Monday afternoon and tell the client in the digest.
If the person waiting is the client's own staff
Use the same tone and steps, in the channel the staff member uses. Never complain about staff to the client; report facts: "Asked (NAME) on (DATE) and (DATE), no reply yet."
Words to avoid
| Avoid | Why | Use instead |
|---|---|---|
| "As per my last email" | Sounds annoyed | "Following up on the quote" |
| "Kindly revert" | Unclear to US, UK and AU readers | "Could you reply by Thursday?" |
| "Just bumping this up" | Says nothing | Restate the ask and the date |
| "URGENT" in capitals | Feels aggressive | State the real deadline calmly |
After you send
- Follow up date updated in the tracker or label.
- After Step 3, the item moves to the client's decision; record what they chose.
Coach's note: always give a reason that is true and a date that is specific. "By Thursday" gets answered. "When you get a chance" gets forgotten.
