Scheduling Email: Confirmation, Reschedule and No-Show
Purpose: confirm external meetings the day before, move meetings politely, and recover from a no-show.
Use it when: about 24 hours before every external meeting, when either side needs to move, or when someone misses a meeting.
Goal: every meeting happens as planned, or is moved with a new confirmed time.
Version: v1.0
Before you send
- Meeting details checked in the calendar (time, zone, link or address)
- Contact's time zone known
- For a reschedule: two or three new options held on the client's calendar
- For a VIP: client has approved the change
The flow
1. Day-before confirmation
You: Subject: Confirming tomorrow: (CLIENT NAME) and (CONTACT NAME), 2:00 PM CT Hi (CONTACT FIRST NAME), A quick confirmation for tomorrow, Wednesday, 2:00 PM CT, with (CLIENT FIRST NAME). The video link is in the invite and here: (MEETING LINK). If anything has changed, just reply and I will find a new time. Best regards, (YOUR NAME)
Why it works: short, gives the link again, and makes changing easy so people reschedule instead of not showing up.
2. Reschedule request from the client's side
You: Subject: New time needed: (TOPIC) call Hi (CONTACT FIRST NAME), I am sorry, but (CLIENT FIRST NAME) needs to move Wednesday's call. Would one of these work instead? All times CT:
- Thursday, 10:00 AM
- Thursday, 3:30 PM
- Friday, 9:00 AM Reply with a number and I will update the invite right away.
Why it works: one short apology, no made-up excuse, and ready options.
If the contact asks why it moved
You: Something came up on (CLIENT FIRST NAME)'s side that could not be moved. They are keen to speak with you this week.
Keep it honest and simple. Never invent a reason.
3. Reschedule request from the contact
You: No problem at all, (CONTACT FIRST NAME). Here are the next openings, CT:
- Friday, 11:00 AM
- Monday, 2:00 PM Reply with a number and I will send the updated invite.
4. No-show: 10 minutes after start
You: Subject: We missed you today Hi (CONTACT FIRST NAME), (CLIENT FIRST NAME) was on the call at 2:00 PM CT but we did not see you. I hope everything is fine. Would you like to pick a new time? Options:
- Thursday, 10:00 AM CT
- Friday, 1:00 PM CT
Why it works: warm, no blame, and gives a path back.
If it is the second no-show
Do not offer new times automatically. Tell the client: "(CONTACT NAME) missed the second call. Would you like me to offer one more time, or leave it with them to reach out?"
Tricky replies
| Contact says | You reply |
|---|---|
| "Can we do it by phone instead?" | "Of course. What is the best number to reach you on?" Update the invite with the number and tell the client. |
| "Running 10 minutes late." | Tell the client immediately in their urgent channel, then reply: "Thanks for letting us know. (CLIENT FIRST NAME) will wait until 2:10 PM CT." (Check first how long the client will wait.) |
| "I need to cancel completely." | "Understood, thank you for letting us know. If you would like to reconnect later, just reply to this email." |
After you send
- Calendar event updated with "Confirmed (DATE)" in the description, or the new time.
- Old holds released; new holds placed for proposed options.
- No-shows logged in the tracker and mentioned in the evening brief.
Coach's note: the day-before confirmation is not a formality. It is the single best way to cut no-shows, because people who would have forgotten will either show up or reschedule. Send it every time.
