Voicemail and SMS Pack

HVAC & Home Services Appointment Setter, CSR, Dispatcher, Lead Qualifier, SMS Agent Voicemail & Text NQX-87

Purpose: Ready-to-use voicemails, prerecorded voicemail drops and texts for every common home services situation, including first-touch texts to cold lists. All short, clear and compliant.

When to use: Whenever a call goes to voicemail or a text touch is due. Always use your client's approved version first if it has one.

Goal of the call: The customer knows who called, why, and exactly how to respond.

Version: v1.0

Before you dial

  • Customer's first name, the reason for contact, and the right template below
  • Opt-out status checked
  • Allowed hours for the customer's time zone (texts follow calling hours)
  • Sending from the client's registered texting platform only
  • Links (review, estimate, financing) tested before sending

Rules for every voicemail

  1. Your name, the company name, the reason, and a callback number. Say the number twice, slowly.
  2. Under 30 seconds.
  3. No sensitive details: no prices, no health information, no account details.
  4. Leave a live, personal voicemail, or use a prerecorded voicemail drop from the set below, recorded in the client's approved wording.

Rules for every text

  1. Company name in the message.
  2. About 160 to 220 characters, plain words, one clear question or action.
  3. Opt-out line ("Reply STOP to opt out") on the first message of any thread and on all marketing texts.
  4. No ALL CAPS, no fake urgency, no misleading links.
  5. Never ask for card numbers, bank details or Social Security numbers by text.

Never do this: Never text from a personal phone. Never send marketing texts to anyone who has opted out, or to a cold number that is not on the client's approved, DNC-scrubbed cold list. Never send texts outside allowed hours, even if they are "just reminders".

  • Company name said, callback number said twice
  • Opt-out line at the end
  • Only to the client's approved, DNC-scrubbed list, inside allowed hours

Check yourself

  1. Name four things every voicemail must include.
  2. Which messages must carry the opt-out line?
  3. Why say the callback number twice?
  4. A customer replies "wrong number". What are your two actions?
Answers
  1. Your name, the company name, the reason, and a callback number.
  2. The first message of any thread and all marketing texts (and follow your client's rule for others).
  3. So the customer can write it down easily, especially if they are listening in a noisy place.
  4. Apologise briefly, and opt the number out and note it in the record.
