Work Order Desk Email Pack
Purpose: ready-to-send emails, messages, prerecorded voicemail drops and cold texts for every common Work Order Desk situation, on both sides of the industry.
When to use: after a call (to confirm in writing), when the client prefers written updates, or when a phone call is not needed.
Goal of each email: one clear message, one clear ask, and a written record.
Version: v1.0
Before you send
- Right recipient, right client, right campaign mailbox (never mix clients in one email)
- Order number and address in the subject line wherever an order is involved
- One topic per email. Several orders on one topic is fine; several topics is not.
- Every placeholder replaced. Search the draft for "(" before sending.
- Attachments checked: right photos, right order, readable
- No codes, tax IDs or bank details in the email body
- Tone: polite, factual, short
Never do this: never send lockbox codes, key codes, tax ID numbers or bank details by plain email. Never copy one client's data into another client's email. Never send an email with a placeholder still in it.
Coach's note: write the subject line so the reader can act without opening the email. "Extension request: Order 4471820, 12 Oak St, new date 10/22" gets a faster answer than "Question about an order".

Side B: vendor recruiting voicemail drops and cold texts
Use these when you recruit contractors from a cold list for a county that needs coverage. A prerecorded drop goes out when a recruiting call reaches voicemail, and a short cold text follows a few minutes later.
- The contractor list is the one your campaign approved, with do-not-contact numbers removed
- It is the business's normal working hours in their time zone
- Drops are recorded once from the client's approved wording, under 25 seconds, with the callback number said twice
- The first text to a number ends with "Reply STOP to opt out"
- One drop and one cold text per contractor per day at most. Log both in the tracker
