Client Communication Templates
For every Narqix Specialist. Copy, fill in and send these messages for kickoff, weekly updates, blockers, scope changes, handover and monthly summaries.
Track: Specialist · Role: All Specialists · Time to complete: 10 min
How to use these templates
- Replace every (PLACEHOLDER). Read the message once more before sending to catch any you missed.
- Write all times in the client's zone, with the zone named.
- Keep the structure. Change the words so they sound like you and fit the client.
- Copy your Delivery Lead on kickoff, blocker, scope change and handover messages.
- Spelling follows the client's country (US clients: color, 10/18/2026; UK and AU clients: colour, 18/10/2026). If unsure, write the month as a word.
Never do this: never send a template with a placeholder still in it. A message that says "Hi (CLIENT NAME)" tells the client nobody was paying attention.
1. Kickoff email
When: within 4 working hours after the kickoff call.
Subject: (PROJECT NAME): kickoff summary and next steps
Hi (CLIENT FIRST NAME), Thank you for the time today. Here is what we agreed, so we are working from the same page. Goal: (ONE-SENTENCE GOAL WITH A NUMBER) What I will deliver:
- (DELIVERABLE)
- (DELIVERABLE) Not included in this phase: (OUT OF SCOPE ITEMS) First milestone: (MILESTONE) on (DATE) What I need from you:
- (ACCESS OR ITEM) by (DATE)
- (ACCESS OR ITEM) by (DATE) Please share logins through your password manager or invite me as a user, rather than sending passwords by email or chat. How we will work: My working hours are (HOURS IN CLIENT TIME ZONE). You will get a short update at the end of each working day in (PROJECT CHANNEL), and a full report every Friday. Our weekly review is (DAY AND TIME). The Scope Sheet is attached. Please reply "approved" or send any changes by (DATE), and I will start right away. Best regards, (YOUR NAME) (YOUR ROLE), Narqix
Coach's note: the line "Not included in this phase" prevents more disagreements than any contract clause. Never leave it out.
2. Weekly update
When: every Friday by the client's end of day. Use the full weekly report template on the Delivery Rituals page for larger projects; this short version suits most channels.
Subject: (PROJECT NAME): weekly update, (DATE)
Hi (CLIENT FIRST NAME), Status: (ON TRACK, AT RISK OR OFF TRACK). (ONE LINE ON WHY) Done this week:
- (RESULT WITH LINK)
- (RESULT WITH LINK) Key numbers: (KPI) is (VALUE), against (LAST WEEK OR TARGET). Next week: (TOP 3 PRIORITIES) Need from you: (DECISION). I recommend (RECOMMENDATION). Could you confirm by (DATE)? Have a good weekend, (YOUR NAME)
3. Blocker escalation
When: as soon as you are blocked and cannot fix it yourself (15 minutes for urgent issues, 30 minutes for normal ones). Send it to the client and copy your Delivery Lead.
Subject: Action needed: (SHORT DESCRIPTION OF BLOCKER)
Hi (CLIENT FIRST NAME), I am blocked on (TASK), and it affects (DEADLINE OR RESULT). What happened: (ONE OR TWO SENTENCES) What I already tried: (STEPS TAKEN) What I need: (SPECIFIC ACTION, ACCESS OR DECISION) By when: (DATE AND TIME WITH ZONE). After that, (DELIVERABLE) moves to (NEW DATE). Options: A. (OPTION A AND ITS EFFECT) B. (OPTION B AND ITS EFFECT) I recommend (A OR B) because (REASON). While I wait, I am moving ahead with (OTHER WORK) so no time is lost. Thank you, (YOUR NAME)
Coach's note: the last line matters. It tells the client you are still productive while you wait, which removes the pressure from the blocker and gets you a faster answer.
4. Scope change request
When: any time the client asks for something not in the approved Scope Sheet, before you start it. Copy your Delivery Lead. Narqix confirms any cost.
Subject: Change request (NUMBER): (SHORT NAME OF CHANGE)
Hi (CLIENT FIRST NAME), Thank you for the request to (DESCRIBE THE CHANGE). It is a good idea, and it sits outside the current scope, so here is what it involves before I start. What changes: (WHAT WILL BE ADDED, REMOVED OR CHANGED) Why it helps: (BUSINESS BENEFIT) Impact: Time: (EXTRA HOURS OR DAYS) Delivery date: (UNCHANGED, OR NEW DATE) Cost: (COST, CONFIRMED BY NARQIX) Risk: (ANY RISK, OR NONE) Your options:
- Approve and add it now.
- Add it to the next phase, after (MILESTONE).
- Swap it for (LOWER PRIORITY ITEM) so the date and cost stay the same. Please reply with 1, 2 or 3. I will not start the change until I have your written approval. Best regards, (YOUR NAME)
5. Delivery and handover
When: at final delivery of a project or a major milestone. Copy your Delivery Lead.
Subject: (PROJECT NAME): delivered, handover pack inside
Hi (CLIENT FIRST NAME), (PROJECT NAME) is complete. Here is everything you need to own and run it. What was delivered:
- (DELIVERABLE), meets (ACCEPTANCE CRITERIA), evidence: (LINK)
- (DELIVERABLE), meets (ACCEPTANCE CRITERIA), evidence: (LINK) Where everything lives: (LINK TO CLIENT FOLDER OR REPOSITORY) Your handover pack: Guide: (LINK) Recorded walkthrough: (LINK) Accounts and subscriptions list, with owners and monthly costs: (LINK) Known issues and recommended next steps: (LINK) Access: all accounts are in your name. I will (KEEP MY ACCESS FOR THE SUPPORT PERIOD, OR REMOVE MY ACCESS ON DATE). After my access is removed, please change any shared passwords. Please confirm acceptance by replying "accepted", or send any issues by (DATE). It has been a pleasure working on this with you. Best regards, (YOUR NAME)
6. Monthly report summary
When: first week of each month for retainers, sent 24 hours before the monthly review call. Attach or link the full monthly review.
Subject: (CLIENT NAME): (MONTH) results and plan
Hi (CLIENT FIRST NAME), Here is your (MONTH) summary. The full review is linked below. Headline: (THE ONE RESULT THAT MATTERS MOST, WITH NUMBER) Results: (KPI): (THIS MONTH), against (LAST MONTH) and target (TARGET) (KPI): (THIS MONTH), against (LAST MONTH) and target (TARGET) What worked: (ONE OR TWO POINTS) What we changed: (ONE OR TWO POINTS AND WHY) One thing we noticed in your business: (BOTTLENECK OUTSIDE OUR SCOPE, WITH A NUMBER) Plan for (NEXT MONTH): (TOP 3 PRIORITIES) Decisions for our call: (DECISION AND RECOMMENDATION) Full review: (LINK) See you on (DAY, TIME AND ZONE). Best regards, (YOUR NAME)
Coach's note: if the month was bad, say it in the headline. "Leads fell 18 percent after the platform changed its ad review rules; we rebuilt two campaigns and recovered half by month end." Clients forgive bad months. They do not forgive finding out on their own.
