Your Setup
For every team member working from home or a shared space. After reading this page you will be able to set up a workstation that is fast, reliable, quiet and secure enough for US and global clients.
Track: All tracks · Role: Everyone · Time to complete: 20 min to read, 1 to 2 hours to set up
Why your setup matters
Your client cannot see your room. They can hear your headset, see your response times and notice when you disappear. A weak setup shows up as echo on a call, a frozen screen during a meeting, or a missed shift during a power cut. A strong setup makes you invisible in the best way: everything just works.
Your setup is checked during onboarding and you confirm it again every month.
1. Workstation
| Item | Minimum | Recommended |
|---|---|---|
| Computer | Laptop or desktop less than 5 years old, 8 GB memory, solid-state drive (SSD) | 16 GB memory, recent mid-range processor with 4 or more cores |
| Operating system | Supported version with security updates still being released | Latest stable version, auto-updates on |
| Screen | One screen, at least 14 inches | Two screens (one for the CRM, one for scripts, notes or the client's system) |
| Webcam | Built-in camera that works | External 1080p camera at eye level |
| Browser | One up-to-date browser with a separate work profile | Work profile with only the extensions your campaign approves |
Work profile rule: keep a separate user account on your computer for work. No family member uses it. Personal apps, games and personal accounts stay out of it.
2. Internet and power backup
Bangladesh has scheduled and unscheduled power cuts, and internet outages happen everywhere. Clients choose Narqix partly because we plan for this. You are part of that plan.
| Item | Standard |
|---|---|
| Primary internet | Broadband with at least 20 Mbps download and 5 Mbps upload. Wired (cable) connection to your computer whenever possible. |
| Backup internet | Mobile data from a different provider than your broadband, with enough data for a full shift (hotspot from a phone or a portable router) |
| Power backup | IPS or UPS that keeps your computer and your router running for at least 2 hours |
| Laptop battery | Fully charged at shift start |
| Speed test | Run before every shift. Check download, upload and ping. |
When something fails:
- Switch to your backup within a few minutes.
- Post in your team channel within 10 minutes of losing your connection, from your backup, saying what happened and when you expect to be back.
- If you cannot recover within 30 minutes, your Campaign Lead arranges cover.
Coach's note: Test your backup on a quiet day, not during an outage. Unplug your router for five minutes once a month and see how fast you are back online. The best operators can switch in under two minutes.
3. Headset
Your voice is your product if you make calls. A good headset is not optional.
| Must have | Avoid |
|---|---|
| USB or wired headset with a noise-cancelling microphone on a boom arm | Laptop built-in microphone and speakers |
| Covers both ears, comfortable for a full shift | Wireless earbuds for calling (unstable, poor microphone) |
| Mute button you can reach without looking | Phone headphones with a microphone on the cable |
Test before every shift: record a 10-second clip of yourself and listen back. You should hear your voice clearly, with no hiss, echo, fan noise or background voices.
Position the microphone about two fingers' width from the corner of your mouth, slightly to the side so your breathing does not hit it.
4. Quiet, professional space
- A room with a door you can close during your shift. If you share a room, agree "do not disturb" times with your family.
- Soft surfaces reduce echo: curtains, a rug, a cushion behind you.
- Background on camera: plain wall or a neat shelf, or use background blur.
- Lighting from the front (a lamp behind your screen), not from a window behind you.
- No television, music or conversations audible on calls.
- A chair that supports your back and a screen at eye level. Night shifts are long.
Never do this: Never take customer calls from a moving vehicle, a café, a shop, or anywhere others can hear the customer's details. If your space becomes unusable (construction noise, visitors), tell your lead before the shift and move to approved backup arrangements.
5. Security setup
These settings are required. Your trainer will ask you to confirm each one. They are explained in full in Data Security and Privacy.
- Full-disk encryption turned on (use your operating system's built-in encryption)
- Automatic operating system and browser updates turned on
- Antivirus active, with a full scan at least every two weeks
- Firewall turned on
- Screen locks automatically after 5 minutes of inactivity, and you lock it manually every time you leave
- Separate work user account that nobody else uses
- Home Wi-Fi uses WPA2 or WPA3 security with a strong, non-default password, and the router admin password has been changed
- A password manager approved by Narqix or your client, with a strong master password you have never used anywhere else
- Two-factor authentication turned on for every work account
- Browser does not save work passwords outside the password manager
- No personal cloud sync for work files (no automatic backup of work folders to personal storage)
- One designated working folder for any downloads, emptied at the end of each task
Never do this: Never keep client data on your phone, a USB drive or a personal cloud account. Never let anyone else use your work account or sit at your desk during a shift. Never write passwords on paper or in a note on your desktop.
6. Daily pre-shift check (5 minutes)
Do this before you check in, every shift.
- Power backup charged and working
- Speed test passed; backup data available
- Headset tested with a short recording
- Computer restarted in the last 24 hours and updates installed
- Password manager unlocked; logged in to the CRM, tracker and team channel
- Scripts, Client Playbook and your cheat sheet open
- Phone on silent and out of reach
- Water nearby; family knows you are starting
Monthly self-check
Once a month your Campaign Lead will ask you to confirm your setup. Be honest. If something is broken or missing (a weak IPS battery, a failing headset), say so. Narqix would rather help you fix it now than lose a shift later.
Check yourself
- Your power goes out mid-shift and your IPS is running. Your broadband is down. What do you do, and within how many minutes do you post in the team channel?
- Why must your backup internet come from a different provider?
- Name four required security settings.
- Where should your headset microphone sit?
- Is it acceptable to take a call from a café if the internet at home is down?
Answers
- Switch to backup mobile data and post in the team channel within 10 minutes, saying what happened and your expected return.
- If the problem is with one provider, the backup still works.
- Any four from the security checklist, for example disk encryption, auto-updates, antivirus, firewall, 5-minute screen lock, separate work account, secure Wi-Fi, password manager, two-factor authentication.
- About two fingers' width from the corner of your mouth, slightly to the side.
- No. Customer details must never be overheard. Tell your lead and follow the approved backup plan.
