Funding Shift SOP
For every funding team member working US hours from Bangladesh. After this page you will know how to start, run and close a shift, how US time zones map to Dhaka time in summer and winter, what to do when power or internet fails, and how to fill in your campaign's specific details.
Track: Strategic Funding · Role: All funding roles · Time to complete: 25 min
The shift in one view
- Prepare (before your scheduled shift starts)
- Check in with your campaign's check-in method
- Huddle and plan
- Work the blocks in priority order, following US time zones from east to west
- Close out every record you touched
- Report and check out
Bangladesh time windows
Dhaka is 6 hours ahead of UTC all year and does not change its clocks. The US does. That means your shift moves by one hour twice a year.
- US daylight time (summer): from the second Sunday in March to the first Sunday in November. In 2026 it ends on Sunday, November 1. In 2027 it starts on Sunday, March 14.
- US standard time (winter): the rest of the year. Most US zones are one hour further behind Dhaka, so everything happens one hour later for you.
- Arizona (most of the state) and Hawaii do not change their clocks.
US business hours (9 AM to 6 PM local) in Dhaka time
| US time zone | Summer (US daylight time) | Winter (US standard time) |
|---|---|---|
| Eastern | 7 PM to 4 AM | 8 PM to 5 AM |
| Central | 8 PM to 5 AM | 9 PM to 6 AM |
| Mountain | 9 PM to 6 AM | 10 PM to 7 AM |
| Arizona | 10 PM to 7 AM | 10 PM to 7 AM |
| Pacific | 10 PM to 7 AM | 11 PM to 8 AM |
| Alaska | 11 PM to 8 AM | 12 AM (midnight) to 9 AM |
| Hawaii | 1 AM to 10 AM | 1 AM to 10 AM |
Federal calling window (8 AM to 9 PM local) in Dhaka time
| US time zone | Summer: first call / last call | Winter: first call / last call |
|---|---|---|
| Eastern | 6 PM / 7 AM | 7 PM / 8 AM |
| Central | 7 PM / 8 AM | 8 PM / 9 AM |
| Mountain | 8 PM / 9 AM | 9 PM / 10 AM |
| Arizona | 9 PM / 10 AM | 9 PM / 10 AM |
| Pacific | 9 PM / 10 AM | 10 PM / 11 AM |
Some states set shorter windows or limit call attempts per day. The dialer enforces your campaign's exact rules. These tables help you plan; they never give you permission to override the dialer.
Coach's note: business owners are easiest to reach early in their morning, before customers arrive, and late in their afternoon, after the rush. A restaurant owner at noon is busy. A contractor at 7 AM may already be on a job site. Plan your callbacks around the merchant's day, not yours.
Typical shift patterns
Your campaign sets your actual scheduled shift. Common patterns:
| Pattern | Summer (Dhaka) | Winter (Dhaka) | Covers |
|---|---|---|---|
| Core shift | 7 PM to 4 AM | 8 PM to 5 AM | East Coast business day, most of Central |
| West Coast pod | 10 PM to 7 AM | 11 PM to 8 AM | Mountain and Pacific business day |
Before your shift
- Power backup charged (UPS or inverter) and mobile data backup ready in case of load-shedding or a line outage
- Approved device updated, headset tested, quiet private workspace
- Nothing on your desk or screen that does not belong to work
- Logged in to CRM, dialer, texting platform (if your role uses it), email, team channel and script library
- Check in with your campaign's check-in method on time
Huddle (first 10 to 15 minutes)
- Read overnight notes in the team channel: inbound leads, merchant replies, funder updates, stips
- Review your queue: callbacks due, docs pending, stips pending, renewals due
- Your lead shares the focus for the shift and any rule changes (for example, a new state cleared or paused)
- Write your top three goals for the shift
Work blocks by role
| Role | Priority order every block |
|---|---|
| Lead Qualifier | New inbound leads (under 5 minutes), then scheduled callbacks, then application follow-ups, then cleared outbound lists by time zone |
| Application Assistant and Document Chaser | Reminders that must reach merchants early, then new handoffs, then checking new uploads, then chasing gaps |
| Funding Processor and File Analyst | Stips pending, then scrubbing complete files, then packages, then submissions before US end of day |
| Renewal and Follow-Up Rep | Docs pending, then funded check-ins, then renewal watch, then declined re-checks, then nurture |
Every hour, every role: check for new inbound messages and opt-outs.
Breaks
Follow your campaign's break schedule. Before a break, set your dialer status correctly and make sure no merchant is waiting on a reply you promised within the next few minutes.
If power or internet fails
- Switch to backup power or mobile data.
- Post in the team channel within 5 minutes: what failed, when, and your expected return.
- If you were on a call that dropped, call back as soon as you are reconnected (if still inside the merchant's calling window) and apologise briefly.
- If you cannot reconnect within 15 minutes, tell your lead so your queue can be covered.
- Log the downtime in your end-of-shift report.
Never do this: never switch to a personal phone, personal email or a messaging app to keep working during an outage. Never take merchant documents offline to "work on later". Wait for approved systems.
Close out
Before you report:
- Every lead or file you touched has a status, a disposition and a next task with a due time
- Every opt-out you received is marked in the CRM, dialer and texting platform
- Every promise you made ("I'll email you in 10 minutes") is done
- No merchant document is anywhere except the secure vault
End-of-shift report
Post in the team channel in this format:
End of shift · (YOUR NAME) · (ROLE) · (DATE) Worked: (NUMBER) leads or files Results: qualified (N), apps signed (N), files completed (N), submitted (N), stips cleared (N) (use the lines for your role) Opt-outs processed: (N) Escalations: (SHORT LIST OR NONE) Blockers and downtime: (SHORT LIST OR NONE) First priority for next shift: (ONE LINE)
Then check out with your campaign's check-in method.
Weekly rhythm
- Call QA review with your lead (recorded calls scored against the quality checklist)
- Calibration session: the team scores the same call or scrub sheet and compares
- Review of rule changes: states cleared or paused, script updates, funder matrix changes
- Personal KPI review against campaign targets
