Document Checklists by Product
For Document Chasers and Processors. After this page you will know exactly which documents to request for each of the 18 products, what "good" looks like for each document, and how to label and store them.
Track: Strategic Funding · Role: Application Assistant, Processor · Time to complete: 40 min
Rules for every document
- Secure channel only. Documents come through the secure upload link or the CRM portal. Never personal email or messaging apps.
- Bank-original. Statements are PDFs downloaded from the bank's website or app. No photos, screenshots, scans of printouts or editable files.
- Complete. Every page, including blank pages and the last page. Check "page X of Y".
- Current. The most recent full months, plus month-to-date where required. IDs not expired.
- Matching. Names, addresses and account numbers match across documents. If not, ask and note.
- Named. Legal name, document type, period. Example: (LEGAL NAME) Statement (YEAR-MONTH).pdf
- Masked in notes. In the CRM, write only the last 4 digits of Social Security and account numbers.
The core business package
Most business products start with this package. Product toggles below say what to add or change.
- Signed application: legal name, DBA, EIN, business address, start date, industry, every owner of 20% or more with ownership percentage, Social Security number, date of birth, home address, signature and authorization to share with funders
- Business bank statements: last 4 full months plus month-to-date, every page
- Driver's license or state ID, front and back, for each signer
- Voided business check or a bank letter showing account and routing numbers
- Card processing statements if most sales are card sales
- For larger requests: most recent business tax return or year-to-date profit and loss statement
Coach's note: "month-to-date" is the item merchants forget most, and it is the item funders care about most, because it shows what happened since the last full statement. Ask for it by name and explain why: "It shows the funder your most recent activity, which usually helps you."

Common document problems and how to fix them
| Problem | What to say |
|---|---|
| Photo of a printed statement | "Thank you. The funder needs the PDF straight from your bank's website or app. It usually takes two minutes: log in, go to statements, download." |
| Missing pages | "Your statement says 6 pages and we have 4. Could you download the full file again?" |
| Missing month-to-date | "Could you also download your activity from the 1st of this month to today? Most banks call it a transaction history or activity export." |
| Expired ID | "Your license on file has expired. Do you have the renewed one?" |
| Name mismatch | "The statement shows a different business name. Is that your DBA, or a different account?" |
| Personal account used for business | "Do you have a separate business account? If not, I'll note it, and the team will tell you how it affects the file." |
Never do this: never accept documents through personal email or messaging apps as the "official" copy, never save documents to your own device, and never accept a document you believe has been changed. Escalate.
