Qualification Standard and Call Flow

30 min

For Lead Qualifiers and anyone who speaks with merchants. After this page you will know the ten core questions, the order to ask them, how to pick the right product, how to record answers, and when to stop.

Track: Strategic Funding · Role: Lead Qualifier · Time to complete: 30 min

The Narqix qualification standard

A qualified merchant is one where:

  1. We know who they are (legal business, owners, state, industry).
  2. We know what they need and why (amount and use of funds).
  3. We know their cash flow in their own words (deposits or revenue, time in business).
  4. We know what they already owe (advances, loans, cards).
  5. We know any blockers (credit band, bankruptcy, liens, judgments).
  6. Their facts meet the screening minimums for at least one product.
  7. They understand the next step and have agreed to it.

If any of the seven is missing, the lead is not qualified yet. It is "contacted".

The ten core questions

Ask these on every business funding call. Product-specific questions come after.

#Question (say it simply)Why we ask
1What is the legal name of the business, and do you use a different name with customers?Must match bank statements and the application
2Which state is the business in, and what does it do?State rules and industry rules both matter
3When did the business start?Time in business is a screening minimum for most products
4How much are you looking for, and what will it be used for?Use of funds decides the product more than the amount
5On average, how much comes into your business bank account each month?Deposits drive most cash flow products
6Are you paying any cash advances, loans or business cards right now? With whom, how much, and how often?Existing positions are the most important fact for funders
7Roughly where is your personal credit score?Self-reported only. No credit pull without written authorization
8Any open bankruptcy, tax liens or court judgments?Possible auto-stop flags
9When do you need the funds?Shapes product choice and follow-up. Never promise a timeline
10Who owns 20% or more of the business?Every such owner may need to sign and provide ID

Coach's note: ask question 6 in three small parts. "Are you paying any advances or business loans right now?" Pause. "How many?" Pause. "And roughly what are the payments, daily or weekly?" Merchants answer small questions honestly. They dodge big ones.

The call flow

Stage 1: Open (30 seconds)
  • Greet, say your name and the company name.
  • Give the recording disclosure if your campaign requires it.
  • Inbound: "I'm following up on the request you just sent us." Outbound: say why you are calling and ask if now is a good time.
  • Confirm you are speaking with an owner or decision maker.
Stage 2: Discover the need (1 to 2 minutes)
  • Ask questions 4 and 9 first: what the money is for and when it is needed.
  • Let them talk. Write their words.
  • Reflect back: "So you want to buy a second truck before the busy season, and you need to move in the next few weeks. Did I get that right?"
Stage 3: Qualify (3 to 5 minutes)
  • Ask questions 1, 2, 3, 5, 6, 7, 8 and 10.
  • Then ask the product-specific questions from the Product Guide.
  • If an answer clearly fails a screening minimum, finish politely; do not push through the rest.
Stage 4: Match and explain the next step (1 to 2 minutes)
  • Name the product path in plain words: "Based on what you shared, this looks like a fit for our equipment financing programs."
  • Explain the process, not the outcome: application, documents, review by funders, written offers if approved.
  • Say what you cannot say: "I can't tell you a rate or an amount. Those come only from the funder, in writing."
Stage 5: Application and documents (2 to 3 minutes)
  • Send the application link and the secure upload link through a consented channel while on the call.
  • Confirm they received them.
  • Name the exact documents for their product.
  • Agree a time for the documents and a time for your follow-up.
Stage 6: Close the call and record
  • Thank them. Tell them who will contact them next and when.
  • Disposition the lead, fill every required field, write the handoff note, set the next task.

Recording answers

  • Write numbers the way the merchant said them. "Said 30 to 35K a month" is better than "35K".
  • Mark self-reported facts as self-reported. The scrub will check them.
  • Never fill a field with a guess. Leave it blank and add a task to ask.
  • Use the merchant's words for the use of funds.
  • Write the consent status and preferred channel every time.

When to stop the call

End politely and route correctly when:

  • The merchant clearly fails the screening minimums for every product (use the Decline Handling script)
  • The person is not an owner and cannot connect you with one
  • The merchant asks you to remove them (honor it immediately)
  • The merchant asks you to help hide or change anything (decline, note it, escalate)
  • The merchant becomes abusive (end the call politely, note it, tell your lead)

Never do this: never pull or ask for a credit report without written authorization. Never tell a merchant they are approved, pre-approved or "sure to qualify". Never suggest an answer ("just say you've been open 6 months"). If the true answer does not qualify, the true answer goes in the file.

Check yourself

  1. List the seven parts of the Narqix qualification standard.
  2. Why do we ask about use of funds before amount?
  3. A merchant has 9 months in business, uneven monthly revenue and no open advances. Which path might fit?
  4. The merchant says "I'll just say I've been open a year, it's close enough." What do you say?
  5. What is the difference between "contacted" and "qualified"?
