CRM Note Templates by Track

25 min

For everyone who writes in a CRM, ticketing system or work order platform. After reading this page you will have the exact note format for your track, ready to copy, so anyone can pick up any record and continue without asking you a question.

Track: All tracks · Role: Everyone · Time to complete: 25 min

Three rules for every note

  1. Write it within 5 minutes, before the next call or task. On calling campaigns: before the next dial.
  2. Facts, numbers and their words. No opinions about people. Quote short phrases when they matter.
  3. Every open record ends with a next step: action, owner, date, time and zone.

The full rules are on CRM Hygiene and Note Writing in Core Skills. Track pages add the codes for your campaign.

Never do this: Never put passwords, full card or bank account numbers, Social Security numbers, full dates of birth or copies of IDs in any note. Never write insults, jokes or opinions about a customer. Never edit or delete another person's note.

The universal Narqix note

Use this on every track when no track-specific format exists. Remember it as Who, What, Details, Promised, Next.

(DATE) (TIME AND ZONE) · (CHANNEL) · (OUTCOME CODE)
Who: (NAME AND ROLE OF THE PERSON YOU SPOKE WITH)
What happened: (2 TO 3 SHORT SENTENCES OF FACTS)
Key details: (NUMBERS, DATES, CONDITIONS, DECISIONS)
Promised: (ANYTHING YOU OR THEY PROMISED, WITH TIMES)
Next step: (ACTION) by (OWNER) on (DATE, TIME AND ZONE)
Example: support ticket
Oct 19, 2026 2:40 PM ET · Chat · Pending customer
Who: Customer, order 51877
What happened: Customer reports the blender arrived without its lid. Sent 2 photos showing the open box.
Key details: Order paid USD 240, delivered Oct 17. Inside 30-day window. Replacement part in stock.
Promised: Replacement lid shipped within 1 business day; tracking emailed when it ships.
Next step: Warehouse ticket raised by me; I confirm tracking to customer by Oct 20, 5:00 PM ET.

The universal handoff note

Add this whenever you pass a lead, ticket, file or task to another person.

HANDOFF to (ROLE OR NAME) · (DATE) (TIME AND ZONE)
Why now: (WHY THIS IS BEING HANDED OFF)
Situation in one line: (SUMMARY)
What they want: (THE CUSTOMER'S GOAL)
Watch out for: (SENSITIVITIES, OBJECTIONS, DEADLINES)
Promised: (WHAT AND WHEN)

A handoff is complete only when three things are true: the CRM stage is updated, the note is written, and the receiving person is notified the way your campaign uses (CRM task, team channel, or both).

Customer Support and Back Office

Use the universal Narqix note and the universal handoff note above. Ticket statuses, tags and priorities come from your Client Playbook and the Ticket Lifecycle page. Back office task logs use the universal note with "Internal" as the channel.

Coach's note: Before you save a note, read it as a stranger who joins the campaign tomorrow. If they would need to call you to understand it, add the missing line now. This one habit separates Associates from Seniors faster than any other.

Check yourself

  1. What are the five lines of the universal note, after the header line?
  2. What three things make a real estate handoff complete?
  3. A homeowner on a solar campaign says "please stop calling me". Which note do you write?
  4. Which TC status does a file carry while title is fixing a probate requirement?
  5. On a funding file, how much of an account number may appear in a note?
Answers
  1. Who, What happened, Key details, Promised, Next step.
  2. CRM stage updated, handoff note written in the standard format, receiving person notified.
  3. "DNC. Requested on call at (TIME). Removed and confirmed to homeowner." with the DNC code.
  4. CURATIVE. Every active file has exactly one status. If the parties agree to pause the deal for probate, it becomes HOLD.
  5. Only the last 4 digits.
