Weekly Client Report

15 min

For every Narqix team member who reports weekly to a lead or client. After reading this page you will be able to write a weekly report in under 30 minutes that shows the pattern of the week, the numbers against target, the risks and the decisions the client must make.

Track: All tracks · Role: Everyone · Time to complete: 15 min

When and where

  • When: the last working day of the client's week (usually Friday), before the end of the client's day, in the client's time zone. Your Playbook may set another day.
  • Where: the channel the client prefers, with detailed numbers in a linked sheet.
  • Length: one screen. Two minutes to read.
  • Built from: your SOD and EOD reports for the week. If they are accurate, the weekly report almost writes itself.

Suggested measures by track

Pick the measures your client agreed at launch. These are the usual ones.

TrackUsual weekly measures

Transaction CoordinationUse the TC Weekly Pipeline Report
SolarDials, conversations, SET, CONF, show rate, NS and CXL counts

Example: six-block report (HVAC call booking)
Weekly report, (CLIENT NAME), week ending Oct 23, 2026

Headline: Booking rate rose to 81% after the new two-slot offer, up from 74%.

Numbers (this week / last week / target):
- Calls handled: 512 / 488 / all
- Booking rate: 81% / 74% / 78%
- UB-Fee (declined over diagnostic fee): 19 / 31 / falling
- Memberships offered on eligible calls: 92% / 85% / 90%

Wins:
- 14 cancellation-list customers moved into earlier slots; 11 kept the new time
- After-hours callbacks all returned within 15 minutes of shift start

Issues and risks:
- 6 calls this week asked about a brand we do not service. Done: coded UB-Service with brand names. Next: list sent to you Friday for a decision on referrals.

Decisions needed:
1. Add a referral partner for the unserviced brand? My suggestion: yes, it keeps the caller's goodwill.
2. Waive the diagnostic fee for members on weekends? My suggestion: test for 2 weeks and compare UB-Fee.

Next week:
1. Membership offer refresher with the team, by Tuesday
2. Weekend cancellation-list push, by Saturday
3. Reason code audit of 50 unbooked calls, by Thursday
Example: short campaign report (real estate cold calling)
Weekly report, week of Oct 19, 2026
Volume: 3,180 dials, 371 live contacts, 109 conversations
KPIs vs target:
- HOT leads handed off: 11 vs 10
- Appointments set: 5 vs 5
- DNC requests coded same shift: 100% vs 100%
Wins: 3 HOT leads from the vacant property list, all with timelines under 60 days
Issues: Disconnect rate on the absentee list was 27%; flagged to the list team Tuesday, new scrub due Monday
Ideas: Move vacant list calls to the first two hours of the shift; contact rate was higher there all week
Next week's focus: Vacant list callbacks, 6 appointments, rescrubbed absentee list

Writing rules

  1. Numbers over adjectives. Not "lots of calls", but "512 calls".
  2. Always compare. Last week and target next to every number.
  3. Bad news early and plainly. Every issue shows what you did and what is next.
  4. Every decision has your recommendation, so the client can reply "yes to both".
  5. No surprises. A serious problem goes up the Escalation Ladder the day it happens. The weekly report is never the first time the client hears of it.
  6. Honest numbers only. If a number was not measured, write "not measured this week" and why.

Coach's note: Keep a "report notes" file open all week. Every time something good, bad or decision-worthy happens, add one line with the date. On Friday you copy, trim and send, and you never lose Monday's win.

Never do this: Never invent, guess or "improve" a number. One made-up number makes every other number in the report worthless. Never include customer personal data; use IDs, initials or counts.

Before you send

  • Headline is one sentence and the most important fact of the week
  • Every number checked against its source
  • Last week and target shown next to each number
  • Every issue has an action and a next step
  • Every decision has a recommendation
  • Client's spelling and date style
  • Fits on one screen

Check yourself

  1. Name the six blocks of the client report.
  2. Who uses the short campaign report, and who turns it into the client's report?
  3. A serious data mistake happened on Tuesday. Is Friday's report the place to tell the client?
  4. A number was not tracked this week. What do you write?
Answers
  1. Headline, Numbers, Wins, Issues and risks, Decisions needed, Next week.
  2. Calling and texting teams use it; the Campaign Lead builds the client report from it.
  3. No. It goes up the Escalation Ladder the same day. The weekly report only records it.
  4. "Not measured this week" and the reason.
